This Privacy Policy explains how Kadence (“Kadence,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Kadence mobile app, web portal, and related services (together, the “Service”). By using the Service, you agree to the practices described here.

1. Who we are

Kadence is a personal fitness tracking platform for logging workouts, tracking nutrition and body metrics, monitoring health data, and competing in weekly leagues. The Service is operated by the Kadence team. If you have questions about this policy or your data, contact us at the address in the “Contact us” section below.

2. Information we collect

We collect the following categories of information, in each case to provide and improve the Service:

  • Account information. Email address and authentication credentials used to create and secure your account. Optionally, a display name and profile details you choose to add.
  • Fitness and training data. Workouts, exercises, sets, reps, weights, durations, personal records, templates, programs, and workout notes you log.
  • Nutrition data. Food and meal logs, including items scanned via barcode or searched in the Open Food Facts database, and macronutrient and calorie information.
  • Body metrics. Bodyweight, body fat, custom measurements, and related goals you enter.
  • Health and wearable data (optional, Pro). If you connect Apple Health (HealthKit) or Google Health Connect, we read data you authorize — such as steps, active calories, sleep, and resting heart rate — to display alongside your training.
  • Journal and mood data. Mood, energy, and journal entries you choose to record.
  • League and social data. XP, ranks, streaks, and the display name shown to other members of your weekly league cohort.
  • Coaching data. If you connect with a coach, the training, nutrition, and progress data you choose to share, plus any forms or messages exchanged.
  • Subscription and payment data. Subscription tier and purchase status. Payments are processed by the app stores and our payments provider; we do not store your full payment card details.
  • Device and usage data. App version, device type, operating system, and basic diagnostic and usage information used to keep the Service reliable.

3. Health & fitness data

We treat health and fitness data with particular care. Data obtained through Apple Health (HealthKit) or Google Health Connect is used solely to provide features you have requested within the Service — for example, displaying your activity, sleep, and recovery alongside your training history.

  • We never use Apple Health or Google Health Connect data for advertising, marketing, or data-mining purposes.
  • We never sell health or fitness data, and we do not share it with third parties except as needed to operate the Service (see "How we share information") or with your explicit consent.
  • Health platform access is optional, off by default, and can be revoked at any time in your device settings or within the app.
  • You can disconnect a health integration or delete synced data without affecting the rest of your account.

4. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Service and its features.
  • Log and display your workouts, nutrition, body metrics, and health data.
  • Calculate personal records, streaks, consistency, XP, and league standings.
  • Sync your data across the mobile app and web portal.
  • Enable coaching features you opt into, including sharing data with a coach you connect to.
  • Send notifications and reminders you have enabled.
  • Maintain the security and integrity of the Service and prevent abuse.
  • Comply with legal obligations.

We do not sell your personal information, and we do not use your fitness, nutrition, or health data for third-party advertising.

5. How we share information

We share information only in the limited circumstances below:

  • Service providers. We use trusted vendors to operate the Service, including our hosting and database provider (Supabase) and our payments/subscription provider. They process data only on our instructions and under appropriate confidentiality and security obligations.
  • Coaches you connect with. If you link your account to a coach, the data you choose to share becomes visible to that coach. You control this connection and can end it at any time.
  • Other league members. Within a weekly league, your display name, rank, and XP are visible to other members of your cohort. Your detailed logs are not shared with the league.
  • Legal and safety. We may disclose information if required by law, or to protect the rights, safety, and security of our users, the public, or Kadence.
  • Business transfers. If Kadence is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction, subject to this policy.

6. Third-party services

The Service integrates with third parties that have their own privacy practices. These include the Open Food Facts nutrition database, Apple Health (HealthKit), Google Health Connect, the Apple App Store and Google Play billing systems, and our infrastructure provider. We encourage you to review the privacy policies of any third-party service you connect to.

7. Data retention

We retain your information for as long as your account is active or as needed to provide the Service. You can delete individual entries at any time. When you delete your account, we delete or anonymize your personal data within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can exercise many of these directly in the app — editing or deleting entries, disconnecting integrations, or deleting your account. To make a formal request, contact us using the details below. We will not discriminate against you for exercising these rights.

Residents of the European Economic Area, the United Kingdom, and California (among others) may have additional rights under applicable law, including the GDPR and the CCPA/CPRA. We do not sell or “share” personal information as those terms are defined under California law.

9. Data security

We use industry-standard safeguards — including encryption in transit, access controls, and row-level security on our database — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continually to protect your data.

10. Children's privacy

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal data, please contact us so we can remove it.

11. International users

Kadence may process and store your information in countries other than the one in which you live. Where we transfer data internationally, we take steps to ensure it remains protected in accordance with this policy and applicable law.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you within the Service. Your continued use of the Service after an update means you accept the revised policy.
